Viewing A Customer Balance
The current balance of Customers can be seen using the Account Balances report.
To view an individual customers current balance against their account:
- Head to Customers & Loyalty > Customers.
- Locate the required Customer and select [EDIT].
- Select the Loyalty & Account tab.
For a Customer using loyalty points, the following is shown:
- Loyalty Points Balance: Displays the current points balance.
For a Customer using gift cards or accounts, the following is shown:
- Account Balance: The current gift card or account balance.
- Account Credit Limit: The credit limit for this customer account, if applicable.
- Available Funds: The amount that the customer is available to spend on the account, when considering both the current account balance the the credit limit (if applicable).
Viewing A Customer Balance History
The balance history of Customers can be seen using the Account Balance History report.
To view an individual customers balance history against their account:
- Head to Customers & Loyalty > Customers.
- Locate the required Customer and select [EDIT].
- Select the History tab.
Per entry, the following information is available:
- Entry Date: The date and time that the edit, adjustment or transaction occurred.
- Message: A summary of the entry type.
- Balance Change Reason: The Balance Change Reason of any back office adjustment, if applicable.
- User: The user that made the balance change. (Note, transactions will show as 'System'.)
- Transaction ID: A link to the transaction where the balance was updated.
- Amount: For Account / Gift Card customers, this shows the balance being added or removed, along with a running Balance.
- Points: For Loyalty Points customers, this shows the points being added or removed, along with a running Balance.
Adjusting A Customers Balance
To adjust a customers balance:
- Head to Customers & Loyalty > Customers.
- Locate the required Customer and select [EDIT].
- Select the Loyalty & Account tab.
Within the Loyalty & Account tab:
- For accounts and gift card, select [ADJUST] against Account Balance.
- For loyalty points, select [ADJUST] against Loyalty Points Balance.
Then, in the Balance Adjust window:
- Amount To Add/Subtract: Enter the value to add or subtract from the customer balance.
- Change Reason: If applicable, select a Balance Change Reason to say why the balance is changing.
- Add Uplift Amount: If required, select to this to uplift the balance even further. This is typically used when additional balance is added as part of a promotion so that the promotion can be tracked. (e.g.: Add 100 points, and as part of a promotion a 5 point uplift will be added so that the customer gets 105 points.) If this is selected, also:
- Uplift Amount: Enter the uplift value to reflect the extract balance added.
- Uplift Reason: Select a Balance Change Reason for the uplift.
Then select [SAVE].
