Introduction
If your company uses Xero for managing invoices, sales from Centegra Plus can be sent on a daily basis to Xero via Xero's API.
For more information on this integration, Contact Centegra.
Configuration
The Xero integration is configured on an individual site basis.
For any new Xero integration, Centegra will complete the configuration required within Centegra Plus for you. For this, we need access to your Xero account via our partner account for API purposes. Details will be provided once the configuration process begins.
Additionally, we will assist in the account mapping process as part of the initial configuration for your company. Any subsequent account mapping should be managed by yourselves through Centegra Plus.
Integration Account Mapping
As part of the integration with Xero, chart accounts can be mapped against product groups and payment types within Centegra Plus, to correspond with accounts within Xero.
This section covers the process of configuring the account mapping within Centegra Plus.
Payments Mapping
There are two elements to configuring this within Centegra Plus:
Create The Payment Chart Account
You only need to do this step when adding a new account.
To add a new account:
- Head to: Company Settings > Accounts Setup > Chart Of Accounts.
- Select [NEW ACCOUNT CHART]
Within the New Chart Account page:
- Enter the following:
- Chart Code: Enter the Xero account code.
- Name: Enter the Xero account name.
- Type: Select Bank.
- Group: Select Current Assets.
- Select [SAVE].
Assign The Chart Account To The Payment Media
A chart account needs to be assigned to each payment media.
To assign an account:
- Head to: Company Settings > Payments > Media Types
- Against the media type, select [EDIT].
- Within the media type, select the account within the Accounts Chart Link list.
- Select [SAVE MEDIA TYPE].
- Repeat for other media types as required.
Within the Xero Draft Invoice, payments are then assigned to the correct Account as per account mapping entered in Centegra Plus.
Sales Mapping
Xero sale accounts can be mapped in Centegra Plus in one of two ways:
If you are unsure of which sales mapping is currently enabled for your company, or wish to change the sales mapping method used, Contact Centegra.
Product Category & Sales Channel
This option is applicable when mapping sales against Xero accounts using product group and price level combinations, like so:
For "Product Category" the Centegra Plus Product Master Group is used, and for "Sales Channel" the Centegra Plus Price Level Type is used.
- Head to: Company Settings > Accounts Setup > GL Codes For Sales.
- Against each Price Level Type and Master Group combination, enter:
- GL Code: To reflect the Xero account code.
- GL Name: To reflect the Xero account name.
- Your changes are saved when you click out of the cell and the border turns green.
Within the Xero Draft Invoice, sales are then assigned to the account details entered in Centegra Plus.
(If price levels or groups are missing in the GL Codes For Sales section, select [REFRESH GL CODE MATRIX].)
Product Category Only
This option is applicable when mapping sales against Xero accounts using product groups only, like so:
For Product Category, the Centegra Plus Product Group is used.
There are two elements to configuring this within Centegra Plus:
Create The Chart Account
You only need to do this step when adding a new account.
To add a new account:
- Head to: Company Settings > Accounts Setup > Chart Of Accounts.
- Select [NEW ACCOUNT CHART]
Within the New Chart Account page:
- Enter the following:
- Chart Code: Enter the Xero account code.
- Name: Enter the Xero account name.
- Type: Select Sales.
- Group: Select Sales.
- Select [SAVE].
Assign The Chart Account To Product Groups
A sales account from the Chart of Accounts needs to be assigned to each product group that contains saleable products. The same sales account can be assigned to multiple product groups.
To assign an account:
- Head to: Product Management > Product Groups > Product Groups.
- Against the group, select [EDIT].
- Within the group, select the account within the Sales Account list.
- Select [SAVE GROUP].
- Repeat for other groups as required.
Within the Xero Draft Invoice, sales are then assigned to the correct Account as per account mapping entered in Centegra Plus.
Tax Rounding Mapping
Occasionally, a small value of tax rounding may be generated.
The tax rounding should be mapped against an account within Xero.
To map tax rounding against an account in Xero, Contact Centegra and provide the Xero account number that should be used.
Troubleshooting & FAQs
When Is Data Sent To Xero?
Data is sent to Xero on a daily basis. Sales are typically configured to send at least 30 minutes after the last site closes, but you can select the time that the data is sent as required.
If you'd like to reschedule the time that sales are sent to to Xero, Contact Centegra.
Sales Are Missing In Xero
If sales are missing in Xero, Contact Centegra with details of the affected date(s) and site(s), and we can check to see if the data is sending to Xero as expected.
If the data has not sent previously as expected, we can send the data to Xero.
If the data has previously sent as expected, we will ask you to contact Xero before resending any data, as Xero may already have the data but there may be something preventing the data from displaying within Xero.
Sales and/or Payments Are Not Mapped To The Correct Xero Account
Account mapping is required within Centegra Plus to assign products to the relevant accounts for sales mapping, and payment media to the relevant accounts for payments mapping.
For more information on account mapping, see the Integration Account Mapping section later in this article.
Sales and/or Payments Show As "Unassigned"
Account mapping is required within Centegra Plus to assign products to the relevant accounts for sales mapping, and payment media to the relevant accounts for payments mapping.
For more information on account mapping, see the Integration Account Mapping section later in this article.
Tax Rounding Is Unusually High
It is normal to see a small value of Tax Rounding in the Draft Invoice within Xero due to the difference ways in which tax is calculated in Centegra Plus versus the way it is calculated within the Draft Invoice.
If you notices that Tax Rounding is unusually high, this is often an indication that payments are not mapped correctly. Refer to the Integration Account Mapping section later in this article and review payment account mapping within your Centegra Plus account.
If all payments are mapped and unusual Tax Rounding persists, Contact Centegra.
