Introduction
Within stock periods, stock period count sheets are used to capture the count inventory products at the end of each period.
Stock period count sheets are unique to each site. Your site can have as many stock count sheets as required, providing the flexibility of having count sheets per 'count area' within your site.
Products can exist on multiple stock period count sheets if the product is stored within multiple areas within your site. Counts on different count sheets are consolidated into one count within the stock period reports.

Creating Stock Period Count Sheets
Stock period count sheets are inherited from the previous period when a new period is created.
Therefore, it is recommended that any new stock period count sheets are created within the most recent period in your site, so that future periods can inherit the new count sheet.
To create a new stock count sheet:
- Head to the Stock Counts section of the latest period within your site.
- Select [NEW COUNT SHEET].
Within the New Stock Count Sheet page:
- Count Sheet Name: Enter a name to describe the count sheet.
- Autofill Using Option: Select one of the following options:
- Blank Count Sheet - The new count sheet will contain no items when initially created.
- All Valid Products - The count sheet will contain all Countable Inventory Products within your companies product database when initially created.
- Product Groups - The count sheet will contain all Countable Inventory Products from selected product groups within your companies product database when initially created.
- Product Groups: If the Product Groups autofill option (above) is selected, select which product groups you'd autofill the new count sheet with.
Then select [CREATE COUNT SHEET].
The count sheet will then be created as per the selected autofill option.
Products can be added or removed from the count sheet as required, and the layout can also be adjusted. For more information on doing so, head to the Next Section.
Editing Stock Period Count Sheets
Stock period count sheets are inherited from the previous period when a new period is created.
Therefore, it is recommended that any updates to the layout of existing stock period count sheets are done so within the most recent period in your site, so that future periods can inherit the changes.
Within an existing stock period count sheet, you can:
- Update Stock Period Count Sheet Settings
- Add Products To Stock Period Count Sheets
- Remove Products From Stock Period Count Sheets
- Adjust The Order Of Products Within Stock Period Count Sheets
Update Stock Period Count Sheet Settings
Within an existing stock period count sheet, the following settings can be changed:
- Name: Enter the name of the count sheet.
- Count Sheet View: Select the count sheet view as covered in This Section.
- Auto Add To Next Stock Period: Select from the following options:
- Yes: The count sheet and it's layout will be created automatically in the next stock period.
- No: The count sheet will not be created in the next stock period as covered in This Section.
Add Products To Stock Period Count Sheets
To add products to a stock period count sheet:
- Access the stock count sheet within the Stock Counts section of the latest period within your site.
- Within the Add Product To Count Sheet field, type to search for the required product(s). Repeat until all products are selected.
- Then select [ADD PRODUCT(S)].
The selected products will get added to the count sheet in the relevant position as per the selected Count Sheet View.
Remove Products From Stock Period Count Sheets
To remove products from a stock period count sheet:
- Access the stock count sheet within the Stock Counts section of the latest period within your site.
- Tick the checkbox against the product(s) to be removed.
- Select [DELETE CHECKED] and confirm.
The products will no longer show on the current stock count sheet.
Adjust The Order Of Products Within Stock Period Count Sheets
There are two options when it comes to the order of products shown within stock count sheets. These options are available to select within the Count Sheet View setting at the top of the stock count sheet, and are:
Products within a stock period count sheet can be shown in one of two ways. This is determined based on the Count Sheet View setting at the top of the stock period count sheet:
- Product Group
- Custom Order
The Product Group view splits the count sheet into sections based on product group, listed in alphabetical order. Within each section, products within that product group are listed in alphabetical order.
The Custom Order view presents all items in one section. A drag-and-drop icon is against each product row to allow you to reposition each product within the count sheet. This is particularly useful if counting an area within your site where products are generally kept in the same position along a shelf for example. Note that new products added to the count sheet automatically go to the bottom of the list.
Deleting Stock Period Count Sheets
It is not possible to delete a stock period count sheet.
However, as stock period count sheets get inherited from the previous period, when a new period is created, it is possible to stop a stock period count sheet from appearing in any future period, thus effectively deleting in for the future.
To do so:
- Access the stock count sheet within the Stock Counts section of the latest period within your site.
- Change the Auto Add To Next Stock Period to No.
- Select [SAVE COUNT SHEET].
The stock count sheet will remain in this period, but will not appear in any future periods.
