Introduction
Stock transfer templates allow you to specify products to be included by default when creating a new Stock Transfer. They are particularly useful if regularly transferring the same items, e.g. transferring from a central production kitchen into stores.
Products within stock transfer templates can have a quantity assigned, which auto-populates within any stock transfer using the template. The quantity can be overridden within stock transfer before the transfer is dispatched.
A stock transfer template can either be specific to an individual site or it can be available to all sites.
You can have as many stock transfer templates as are required.
Creating Stock Transfer Templates
When creating a stock transfer template, if the template should be available to all sites, ensure that you create the template whilst logged into the Head Office site; otherwise, log into the site that the template is for.
To create a stock transfer template:
- Head to Inventory Management > Transfers > Transfer Templates.
- Select [NEW TRANSFER TEMPLATE].
Within the New Transfer Template window:
- Name: Enter a name for the template.
- All Sites: If logged into the Head Office site, select this if the template can be available at all sites.
Select [SAVE TRANSFER TEMPLATE].
You'll be taken into the stock transfer template.
To add products to the template, select [NEW TEMPLATE ITEM].
In the new row at the bottom of the list:
- Product: Select the product from the list.
- Quantity: If required, enter an transfer quantity to show by default in new stock transfers using this template into any of the quantity fields.
Repeat until all products are added.
Once all products have been entered, select [SAVE TRANSFER TEMPLATE].
The stock transfer template is then available to select when creating stock transfers.
Editing Stock Transfer Templates
Stock transfer templates can be edited without impacting on historical transfers that used the template. If editing a companywide stock transfer template, log into the head office site; otherwise log into the site where the template is applicable.
To edit a stock transfer template:
- Head to Inventory Management > Transfers > Transfer Templates.
- Locate the required stock transfer template and select [EDIT].
Within the stock transfer template, against existing lines the following can be edited:
- Quantity: If required, enter an transfer quantity to show by default in new stock transfers using this template into any of the quantity fields.
Additionally, the order of existing products can be changed by using the drag-and-drop buttons on the row to reposition the products in the list.
Finally, new products can be added to the existing template by selecting [NEW TEMPLATE ITEM].
In the new row at the bottom of the list:
- Product: Select the product from the list.
- Quantity: If required, enter an transfer quantity to show by default in new stock transfers using this template into any of the quantity fields.
Searching Stock Transfer Templates
Access Stock Transfer Templates via: Inventory Management > Transfers > Transfer Templates.
All companywide stock transfer templates as well as stock transfer templates specific to the site that you are logged in to are shown by default when accessing this section.
There is no option to perform a search to narrow down the list in this section currently.
The stock transfer templates list shows the following:
- Name: The name of the stock transfer template.
- Created: The date that the stock transfer template was created.
- Created By: The user created the stock transfer template.
Deleting Stock Transfer Templates
A stock transfer template can be deleted if no longer required.
You can only delete a stock transfer template if you have rights to do so. Click Here if you do not have rights to delete but believe you should.
To delete a stock transfer template:
- Head to Inventory Management > Transfers > Transfer Templates.
- Locate the required stock transfer template and select [EDIT].
Within the stock transfer template:
- Select [DELETE].
- Confirm the deletion.
The stock transfer template is now marked as deleted.
This is a hard delete, so the stock transfer template cannot be recovered.
